Document Control Administrator

The Document Control Administrator will play a key role in supporting our Quality team and ISO Program by managing our document collection and supporting a variety of Inpria’s business processes. Responsibilities

  • Oversee the creation, revision, distribution, and storage of documents within established protocols.
  • Ensure that our document management system conforms with the ISO 9001:2015 industry standard.
  • Work closely with various departments to collect, organize, and manage documents, fostering efficient communication and information flow.
  • Ensure that documents are updated and remove outdated documents.
  • Train employees in document control procedures such as submission and review.
  • Prepare documents and information for internal and external audits, ensuring readiness and conformance to internal and ISO 9001:2015 standards.
  • Identify areas for improvement in document management processes and propose solutions to enhance efficiency. Proactively identify opportunities to streamline document control processes, suggest improvements, and implement best practices to enhance efficiency and accuracy.
  • Manage the entire lifecycle of documents from creation to obsoletion, maintaining accurate records.
  • Manage document versions, revisions, and updates, maintaining a systematic approach to tracking changes and ensuring the accessibility of the most recent documents.
  • Conduct regular audits to verify document accuracy, consistency, and adherence to established protocols, identifying and rectifying discrepancies as needed.
  • Collaborate with cross-functional teams, project managers, and stakeholders to ensure proper documentation flow throughout projects or organizational processes.
  • Provide guidance and training to staff on document control procedures, ensuring understanding and compliance with established protocols.
  • Generate reports on document management metrics to facilitate decision-making and process improvements. Perform other duties as assigned.

Qualifications

  • Minimum of three years of proven experience in document control or records management, preferably in the manufacturing industry.
  • Bachelor's degree in Business Administration, Library Science, a related field, or equivalent work experience.
  • Familiar with the ISO 9001:2015 standard (“Quality Management Systems – Requirements")
  • Proficient with MS Office (Word, Excel, & Power Point) and familiar with SharePoint and cloud-based Document and Learning Management Systems.
  • Ability to communicate clearly, persuasively, and professionally, both orally and in writing.
  • Proven ability to collaborate effectively with cross-functional teams and stakeholders.
  • Proactive, detail-oriented individual with strong organizational skills, positive attitude, and willingness to support team objectives.
  • Ability to work independently and effectively manage projects and multiple priorities simultaneously.
  • Comfortable when reviewing, analyzing, and auditing document management processes.
  • Understanding and commitment to maintaining confidentiality and handling sensitive information appropriately.
  • Commitment to ensuring the highest quality standards in document control processes.
  • Ability to use a keyboard and mouse for computer document review, editing, data entry.
  • Ability to work in an open office environment and sit or stand for long periods.
